How do I register apprentices for EPA with the IET?

How long does the EPA process take?

Once an apprentice has met the requirements for gateway, generally we are able to complete the process within 4-6 weeks.

When should I register apprentices for EPA?

You can register apprentices at the start of their apprenticeship, or we advise at least 12 months prior to EPA.

What happens if an apprentice fails to attend their assessment?

We require a 24hr notice period if a viva is to be cancelled. If we do not receive the cancellation within that time period there will be a fee of £150.

What happens if an apprentice fails their EPA assessment?

Sometimes an apprentice comes up short at either or both stages. They are allowed one re-sit at each.

  • Stage 1 - They have six months to work on any deficiencies and to sit the viva again.
  • Stage 2 – They have three months to provide further written evidence.

How do I submit EPA gateway documentation?

We currently use an online document-sharing platform called ACE 360. If you need to register on ACE 360, please contact your EPA Account Manager.

Does the IET provide guidance on how apprentices prepare their EPA submissions?

Once a contract is in place, apprentices, their supporters, line managers, etc, who may wish to guide and advise the apprentice are invited to attend a workshop. This workshop will outline the EPA process and describe the two EPA submission documents that the apprentice needs to create.

Workshops can be carried out virtually or in person.

Where will the EPA assessment take place?

We currently carry out EPA assessments virtually but can arrange for this to be carried out in person, if preferred.

When will employers/training providers be notified of apprentice results?

The IET aims to post the results of the assessments as soon as possible once all the assessment stages have been completed. 

Please note, however, that you may not be involved in the final stages of your assessment; for example there may be a desk review of a written submission which takes place after your Professional Discussion assessment.

The IET also has an Internal Quality Assurance process that requires a number of assessments to be audited before the results are registered. This may also delay the notification to you.

However, so long as your assessment is not flagged for an IQA check, we aim to notify you of the outcome within seven working days of the final assessment stage.
